EcoVadis Program Overview

Hilton has partnered with EcoVadis, an independent sustainability ratings company, for the EcoVadis sustainability assessment which strategic suppliers are required to complete upon the execution of new contracts and renewals. EcoVadis is one key component of Hilton’s supplier risk tool, Coupa Risk Assess (CRA), which identifies and notifies strategic suppliers of the EcoVadis assessment requirement. A clause mandating annual participation in the assessment is added to new or renewed contracts during this time. The goal of our EcoVadis program is to collaborate with our suppliers to collectively improve our social and environmental impact. A low score won’t necessarily impact the supplier’s relationship with Hilton. Instead, commitment to transparency and improvement is valued.

EcoVadis Program Contractual Requirements

Supplier Requirements Upon Scorecard Publication:

If a supplier does not have a valid EcoVadis scorecard or has an expired scorecard at the time of contract execution, the supplier has three (3) months post-signing date of contract to complete an EcoVadis assessment.

Suppliers who score below Hilton’s minimum requirements* in the first assessment are required to:

  • Commit to a Corrective Action Plan (CAP) via the EcoVadis platform.
  • Complete a reassessment every 12 months, and increase their score and meet the minimum requirements.

*Should supplier fail to meet the minimum score upon reassessment, the relevant Category Manager will have a conversation with a supplier to determine a remediation plan.

Suppliers who score below Hilton’s expected requirements* in the first assessment are required to:

  • Commit to a Corrective Action Plan (CAP) via the EcoVadis platform.
  • Complete a reassessment every 12 months, and increase their score to meet the expected requirements within 36 months.

Suppliers who meet Hilton’s expected score only need to complete an EcoVadis assessment once every 36 months.

Hilton Score Requirements:

Minimum: Score above insufficient (25+) in each theme.
Expected: Overall score of 50+.
Note: Should Hilton raise the minimum score during the term of the contract, suppliers are required to meet the new threshold to be eligible for contract renewal.

How to participate in the EcoVadis assessment

Already Rated by EcoVadis?

If issued a scorecard in the last 12 months, share it with Hilton. If invited via Coupa Risk Assess, complete the EcoVadis Enrollment Form to link your scorecard to Hilton’s system. Companies assessed over a year ago will be invited for a reassessment.

New to EcoVadis?

  1. Register Online: Use the personal invitation link sent to your email or, if invited via Coupa Risk Assess, complete the EcoVadis Enrollment Form to receive your customized questionnaire. For questions related to the EcoVadis Enrollment Form, please reach out to responsible_sourcing@hilton.com.
  2. Complete the Questionnaire: The questionnaire will be sent via email after completing registration and is tailored to your size, industry and location. Need more time? Contact the EcoVadis Support Team for assistance.
  3. Upload Supporting Documents: Provide documentation reflecting your company’s commitment to sustainability.
  4. Submit the Questionnaire: Review EcoVadis subscription plans and pricing here.
  5. Review Scorecard Results: EcoVadis will notify you via email once results are available.
  6. Commit to a Corrective Action Plan via the EcoVadis Platform: if below Hilton’s minimum or expected score requirements.

What are the benefits of the assessment for my company?

For companies new to EcoVadis, this assessment can serve as a baseline audit of your company’s performance across four themes: Environment, Labor & Human Rights, Ethics and Sustainable Procurement. This collaborative tool generates a sustainability scorecard outlining strengths and improvement areas for your business. You can also share these results, in addition to CAPs, with any company in the EcoVadis network. Review all program benefits here.

Hilton, along with other major hospitality companies (including Marriott, IHG and Avendra), cofounded the Hospitality Alliance for Responsible Procurement, which seeks to drive supply chain improvements across the industry. This alliance has partnered with EcoVadis as the primary sustainability assessment tool for their suppliers. Your participation in the assessment enhances the impact of your company’s sustainability efforts within the broader hospitality sector.

Why is there a fee for assessment?

The annual subscription fee covers all costs associated with your company’s sustainability assessment, including access to the online EcoVadis platform, a thorough data assessment and gap analysis performed by EcoVadis experts and access to a wide range of performance improvement tools to

advance your mission. Suppliers can choose from any of the subscription plans (the basic plan is sufficient for Hilton’s EcoVadis Program).

How long does it take to finish the assessment?

Registration takes 5-10 minutes, and completing the questionnaire varies from a few days to several weeks based on company size and sustainability practices. Analysis and scorecard creation take 6-8 weeks. You will be notified via email when results are published. Suppliers required to participate are given three months after contract execution.

Will my information be kept confidential?

Yes, your information is treated with strict confidentiality according to the EcoVadis Terms & Conditions. It will not be shared or distributed to any third parties unless you choose to share your EcoVadis scorecard and assessment results with specific entities, such as Hilton and HSM.
